Methodology
Profectus
software implementation advisory service is designed to help
printing organizations rapidly leverage the capabilities
of their management system. Our consultants employ industry
solutions, tools, templates, and methodologies that create an
enabling framework and reduce the “time to benefit” of their system. This is
typically accomplished in a five phase approach.
Phase I - Project
Preparation & Planning
The primary focus
of the first phase is getting the project started, understand
the business goals of the company and to determine the business
requirements needed to support those goals. The project team
members are identified and a detail implementation and training
plan is developed.
Planning is a critical step in implementing any management system.
Yet, poor
planning is the cause of over 80% of failed software implementations. Not having a system implementation
plan is like putting a job through your shop without a job ticket or instructions.
Profectus consultants work with you to prepare a roadmap for
implementing a business management system.
The plan provides your company with a clear vision of the journey forward, keeps the project moving at a
steady pace, eliminates duplication of effort, ensures that the project is in control, and maximizes the use

Phase II - Project
Kickoff and Setup
The purpose of
this phase is to kick-off the project by providing a project
team symposium on the implementation approach, setup the system,
and train the team.
Data Setup & Optimization
- Building the databases is one of the most crucial tasks when
implementing a system. Our consultants work with your people to
construct the vital information that controls your system
including your cost centers, processes, hourly cost rates,
production standards, materials, and chart of accounts. We also
assist in planning and mapping data conversions from your old
system to your new system.
Training - During this phase
we also coordinate training classes with your organization and
the software vendor. In addition, our
consultants provide numerous workshops to educate your staff on
system concepts, sales, marketing, estimating,
planning, order entry, inventory, production, cost accounting,
and management reports.
Business Practices -
Implementations
fail when companies try to fit inefficient business practices
into a system designed to improve; or attempting to implement
business processes put in place from outdated systems. Our
wealth of printing and systems experience empowers us to provide
sound, rational advice, and counsel for realigning your
business
practices as warranted by the capabilities of
your management system.
Reports Setup
- Our consultants work with your organization to
identify and design top-level action-oriented reports
action-oriented reports that measure
the performance of each area of your business. Then we educate your people on what the information means and
how to proactively act on the information to improve operations. |

Phase III - Pilot
Testing
| The focus of
this phase is to fine tune the system setup through a series of “boardroom” pilot tests. Profectus helps your team prepare and run
pilot tests to check the system’s setup, capabilities, and
overall performance. Pilot tests typically begin as simple
estimates and jobs, and gradually progress to more complex models.
Pilot jobs are run through each module of the integrated
system including estimating, order entry, purchasing,
inventory, receiving, scheduling, shop floor data
collection, jobs costing, invoicing, and accounting. |

Phase IV - Live
Operation
| The purpose of
this phase is to deploy the management system in the live
environment . The Profectus consultant is on site to observe
and support the end-users in their production environment. |

Phase V - Post
Implementation Training
Although
companies spend months, if not years, selecting and
implementing a system, many companies utilize less than 60%
of the software’s functionality. This is typically because
users must work with the system for some time and accumulate
historic data before fully understanding the system’s
capabilities.
Profectus’ Post Implementation Training is designed to
identify the system capabilities that are underutilized and
institute actions that will maximize the potential and
benefits of the management system. Post implementation
training typically transpires 3 to 6 months after the
product has been in live operation and an adequate sample of
historic data has been accumulated. |
