Methodology
Profectus
software selection advisory service is designed to help
organizations thoroughly and quickly investigate all of
the potential software products to find the solution
that best fits their needs of the organization. This is
typically accomplished in a three phase approach.
Using our proven
software selection approach, the entire process only
takes between 8 and 12 weeks to thoroughly narrow down a
list of over 150 products to a single “Best Fit”
solution for your organization.
During the
first phase a senior consultant comes to your facility, works with
your team to define your company’s requirements, benchmarks your
requirements against over 130 systems, identifies a short
list of 4-8 fitting products, prepares software demonstration
scripts, and creates a system Request For Proposal to send to the vendors.
Detail Requirements - Your requirements are an important benchmark for
measuring the capabilities of each product against your needs. A
senior consultant works with your selection team to identify and
prioritize what is required by your organization based on your
current and future business needs. To speed up the process, we
reference our proprietary checklist of over 1,500 functions and
requirements available in systems.

Search for Best-Fit Solution -
Profectus maintains the printing industry most extensive product
database of
over 150 printing industry management systems and their
thousands of functions, compiled from over 25 years of research and
surveys. Using our product database, experience, and research, we
quickly isolate a short list of products that come closest to your
company’s detail functional requirements and needs.
Request For Proposal (RFP)
- We prepare a system Request For Proposal (RFP) ready to send to
software vendors so you receive competitive prices and the
appropriate information to support your software investment
decision and protect your investment.
|
During the second phase of the selection project, a senior
consultant helps your organization analyze product proposals,
prepares a Weighted Product Comparison Study, and helps your team
identify 2-3 finalists.
Product Comparison Study - You receive a comprehensive product comparison study that weighs
the capabilities of each product against your requirements.
Proposals Review - Profectus
assesses the vendor
proposals with your team to identify the 2-3 finalists that fit your
needs and will be required to provide an onsite
demonstration to your team and Profectus. |
During the third phase a senior consultant
helps your organization facilitate product demonstrations, provides
unbiased recommendations for a final solution, and assists with
contract negotiations.
Product Demonstrations
- Product demonstrations are one of the most important steps in the
selection process.
Our consultants know how to manage the product demos so you
receive a good representation of how each product will function in
your environment and
address your requirements.
Demonstration Scripts
- Profectus works with your team to develop detail scripts for
the prospective vendors to follow during their onsite
demonstration so your team gets a fair comparison of each
product.
Product Evaluation
Tools - Profectus provides your team with numerous evaluation
tools designed to help each team member document and track each
product’s and make an informed decision.
Unbiased Recommendations
- Profectus is a vendor-independent organization. We do not sell
software, develop software, or represent any of the software
providers.
Contract Negotiations
-
Our experience with vendor strategies for pricing and working
through contract issues can protect your interests, maximize your
buying power, lower your investment costs, and can save you costly
errors.
